Field Trial Management System

To put it simply FTMS is an on-line management system that guides Field Trial and Working Test Secretaries through the process of setting up a Trial/ Working Test and guides a FTMS Member through the process of entering Trial/ Working Test. The benefits to our Club Members are as follows:

• FTMS Members: A person need enter their details and their dog(s) details once – any changes need only be entered once – and that information is available across the system to all Clubs.
• Dogs: The system contains an extensive database of dogs and parentage, qualifications and prefixes. This means that when entering a dog into a Trial or Test, the details of that dog are immediately accessible.
• Clubs: Clubs, Field Trial Secretary and Working Test Secretary contact details are always available, in one place.
• Judges: A list of Judges is always available.
• Owners: Details are entered once and once only.
• ‘One stop shopping’: No need to trawl through 120 web sites – both Trials/ Working Tests are all displayed in one place.
• Enter a Trial/Working Test on-line – no paper and no postage (or getting lost in the post).

Following the South Western Golden Retriever Club’s move to utilise the Field Trial Management System (FTMS) it means that any paper entries received by post or email will also need to be entered onto the system. Therefore, anyone who is NOT already a Member of FTMS will have their details and dogs details entered manually by the WT or FT Secretary. This action, however, triggers The Data Protection Act 1998 – GDPR – for which the SWGRC must be compliant.

In order for the South Western Golden Retriever Club to comply, it has been decided to add a sentence to all our Working Test and Field Trial Entry forms under the “Declaration” section, acknowledging that an entrant’s personal details will be added to FTMS. By signing this amended Declaration the entrant is understanding and in agreement of this.

Data Protection

FTMS complies with the Data Protection Act 1998 (the “Act”) and The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679). For the purposes of the Act, FTMS is the data controller and sole owner of the personal data collected on the Website.

FTMS does not sell, share or transfer this information except as set out in this Privacy Policy.

We use up-to-date industry standard procedures to keep personal data as safe and secure as possible and to protect against loss, unauthorised disclosure or access. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to the Website; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

The Act gives you the right to access details that we hold about you. Your right of access can be exercised in accordance with the Act. A small fee may be payable in respect of any access request.
